Processing of personal data in the context of video surveillance

Processing purposes and methods

Alma Mater Studiorum - Università di Bologna processes the data of the subject (video surveillance footage), also through electronic means, exclusively for institutional purposes — such as improving the security of areas where institutional activities take place and protecting the university’s assets from unlawful acts.

Video surveillance data may also be processed in the events of incidents affecting safety, unauthorised physical access to facilities and IT infrastructures and acts of vandalism in or near monitored areas.

The data is also processed to allow the exercise of the right of defence by the data controller or third parties in civil or criminal proceedings, based on footage relevant to unlawful events.

Personal data is processed by individuals specifically authorised to operate the devices and to view footage recorded in the monitored areas when necessary for the intended purposes.

Due to their characteristics and installation methods, the devices are not intended to perform remote monitoring of employees’ work activities.

Legal basis and nature of the provision of data

Legal basis in accordance with art. 6, paragraph 1, letter e (processing necessary for the performance of a task carried out in the public interest) of Regulation (EU) 2016/679.

The provision of data is compulsory for the purposes mentioned in the previous paragraph.

Recipients

In addition to the potential recipients mentioned in the Privacy Policy Statement, the data may also be:

  • Disclosed to competent authorities for the purpose of maintaining public security, as well as for the prevention, investigation, detection or prosecution of criminal offences. In certain cases, competent authorities may have direct access to the footage according to specific agreements.
  • Sent to third parties, appointed as Data Processors pursuant to and in accordance with art. 28 of Regulation (EU) 2016/679, for the purposes of managing video surveillance systems and equipment.

Data retention period

The recorded footage is stored on a digital evidence management system and retained for 72 hours. This period may be extended unexpectedly to fulfil the purposes previously outlined.
